What this means for your team

Make the next step easier.

  • Published shifts, workplaces and scheduled breaks
  • Availability, leave and cover requests alongside planning
  • Actual hours kept separate from the original plan
  • Clear requests when a clocking needs attention

A working-day example

From Friday's rota to Friday's actual hours

A restaurant manager plans the evening team. Staff can see their shifts; the manager reviews differences after service.

  1. 01

Plan the team, workplace, shift times and expected breaks.

  2. 02

Review availability and publish the rota.

  3. 03

Staff record work using the business's configured clocking rules.

  4. 04

Review actual times, breaks and any correction requests before approving hours.

Illustrative workflow using synthetic examples.

Make the plan easy to understand

Bring shifts and the details people need into the same view.

  • Rota templates and published shift changes
  • Workplace and team assignments
  • Availability, cover and approved shift exchanges

Record what happened

A late finish should stay a late finish. Rota times do not overwrite actual clockings.

  • Recorded clock-in, clock-out and breaks
  • Scheduled versus actual review
  • Correction requests with review history

Match the way your team works

Use the supported working and location settings for your team, rather than assuming everyone works the same pattern.

  • Scheduled, fixed and flexible working arrangements
  • Workplace and anywhere-work configurations
  • Separate optional volunteer-hour journals

Useful answers

A closer look.

Can staff see changes to their rota?

Staff can view their published shifts and relevant changes. Who can publish, review or change a rota depends on the business's permissions and scope.

Does a planned shift become a timesheet automatically?

The rota is the plan. Actual work records and reviewed corrections remain the evidence for hours; planned times do not replace recorded times.

Does clocking track people all day?

No. Where location verification is configured, location is used for the clock-in decision. StaffSail does not continuously track staff.
